As a fundraising gala planner, Canada-wide experience comes down to one thing: a fundraising gala has to do two jobs at once: give guests a night worth attending, and raise money. Those goals pull against each other if the programme is not designed carefully. We plan the run of show around the revenue moments — the appeal, the auction, the story that sets them up — so the fundraising feels like part of the evening rather than an interruption.

How we plan a gala

Brief and budget

We start with what the night has to achieve — a fundraising target, a recognition programme, an anniversary — and what can realistically be spent getting there. Every decision after this point gets measured against those two things, which is what keeps a gala budget from drifting.

Venue and date

Venue selection comes early because it constrains everything downstream: capacity, catering costs, what production the room can physically carry, load-in access, and what guests will pay to attend. We shortlist against your programme rather than against a directory listing.

Design and run of show

The look of the room and the shape of the evening are planned together, not in sequence. A fundraising appeal needs the room to feel a particular way at a particular moment — that is a design decision as much as a programme one, and separating the two is why some galas feel disjointed.

Production and suppliers

Staging, lighting, sound, screens, decor and catering are sourced, scheduled and coordinated. Where you already have supplier relationships, we work within them rather than replacing them.

Rehearsal and delivery

Presenters and speakers are briefed and the show is rehearsed against the actual room. On the night, our team runs the event so your people can host and talk to guests rather than manage a programme.

Live, hybrid and virtual galas

Not every gala is a single room full of people. We produce galas in live, hybrid and virtual formats, and the format is a strategic decision rather than a technical one. A hybrid gala can widen a donor base well beyond the people able to travel — but it only works when the programme is built for two audiences simultaneously, rather than a camera pointed at a stage designed for the room.

Gala planning FAQs

How far in advance should we start planning a gala?

For a gala of any scale, twelve months is comfortable and six is workable. The binding constraint is usually venue availability — desirable rooms for autumn and spring dates in Edmonton book well ahead. If your date is fixed, start with the venue.

Do you work with our existing suppliers?

Yes. Many organisations have long relationships with a caterer, an AV provider or a decor supplier. We work with your suppliers, bring in our own where there are gaps, or manage a mix of both.

Can you help with only part of the gala?

Yes. Some clients want full production; others want help with the run of show, the design, or an outside review of a plan already in progress. Our event consulting service covers the lighter engagements.
